What Counts as a Qualified Commercial Cleaning Lead? A Practical UK Checklist

Lead volume is a poor metric when the cleaning company cannot reasonably quote the opportunity. A full inbox can still produce an empty calendar if the replies are outside your area, too small, unrelated or not ready to speak.
The useful question is not “How many leads did we get?” It is “How many suitable businesses moved far enough forward for us to act?”
The six stages are not the same
A reply, an interested prospect and a won contract belong to different stages of the funnel.
- Reply
- Any response to the outreach. It may be positive, negative, unrelated or simply a request to stop.
- Positive reply
- A response that shows some interest or asks a relevant question. It still needs qualification.
- Qualified opportunity
- A relevant commercial prospect in the agreed area with a real recurring need, suitable fit and genuine interest in taking the next step.
- Booked walkthrough
- A date and time are agreed for the cleaning company to inspect the premises and understand the work.
- Quote
- The cleaning company has assessed the site and sent a commercial proposal.
- Won contract
- The prospect has accepted the proposal and agreed to begin the recurring cleaning service.
A reply is not automatically a qualified opportunity. A qualified opportunity is not automatically a walkthrough, quote or won contract.
The 7-point qualification checklist
Use these checks before asking an owner or salesperson to spend time on the opportunity.

Are you speaking with the owner, facilities lead, practice manager, office manager or another person able to progress the decision?

Real premises and recurring cleaning need
Is there a genuine workplace or facility that needs regular commercial cleaning rather than a one-off domestic task?

Location in the service area
Can the cleaning team reach and serve the premises efficiently?

Suitable site type
Does the building match the premises the cleaning company wants and is equipped to clean?

Minimum job or contract size
Is the likely scope large enough to make a walkthrough, quote and mobilisation worthwhile?

Credible timing or trigger
Is there a live reason to review cleaning, such as a contract review, service issue, move, opening or planned tender?

Willingness to take a call or walkthrough
Will the prospect answer qualification questions and agree to a practical next step?

Give one point for each of the seven checks above. Record the evidence, not just the score.

This is a working checklist, not a guarantee. The cleaning company still decides whether an opportunity is worth its time.
Red flags that should not be counted as qualified leads
- The same enquiry is being shared or resold to several cleaning companies.
- The request is domestic, one-off or outside the agreed commercial service.
- The reply comes from a job seeker, supplier or unrelated contact.
- The contact has no authority and cannot introduce the decision-maker.
- The premises are outside the cleaning company’s workable area.
- There is no clear need, trigger or realistic timing.
- The contact is only collecting a headline price and will not discuss the site or scope.

Questions to ask before paying for lead generation
- What exactly do you count as a lead?
- Do you separate replies, positive replies, qualified opportunities and booked walkthroughs?
- How do you check area, site type and minimum job size?
- Are enquiries exclusive, or are they shared and resold?
- Who handles replies and qualification?
- Can I see the full funnel rather than one headline number?
- What happens when a reply is unrelated or not a commercial cleaning prospect?
If the provider cannot explain these points clearly, the headline lead number tells you very little.
